International Representations:
In recognition of its international standard and success,
the Sharjah World Book Fair is given memberships of
many international organizations such as (1) Afro-Asian
Book Council (2) Arab Publishers' Association (3) International
Publishers' Association (4) GCC Book Committee, etc.
General Organization:
- Sharjah World Book Fair has got two main divisions:
(a) Display division (2) Sales division.
- Both the divisions will have Arabic language and Foreign
language sections. Visiting
hours:
- Daily : Morning :09:00 hrs to 13:00 hrs. Evening 17:00
hrs to 22:30 hrs. Fridays: 16.30 hrs to 22.30 hrs
- Schools (Boys): Saturdays & Mondays (09:00 hrs
to 13:00 hrs). (Girls) : Sundays, Tuesdays (09:00 hrs
to 13:00 hrs)
- Trade visitors, publishers, researchers, educational
institutions, libraries, colleges, etc.: Wed.& Thu.
(9 - 13 hrs).
- All associated activities are from 17:00 hrs to 22:00
hrs daily. Participants:
(a) Publishing houses or their authorised agents (b)
cultural establishments, research centres, societies,
universities, media.
(c) Producers of educational aids, maps, audios/videos.
Book Fair Guide:
The Book Fair Guide published annually provides full
information on the current book fair. Book
Fair Catalogue / CD:
The catalogue and CD, published in Arabic and English
languages, contain full information on available titles
(title name, author, price, etc.) that are available
at the fair, with a special children's books section.
(Dewy System is applied for subject classification.)
Information Counters:
Several information counters shall be functioning at
the entrance as well as inside the pavilions to support
the visitors with information. Publishers
prize:
Publishers, whose contributions were found to be honoured,
are selected and felicitated every year under the patronage
and presence of His Highness The Ruler of Sharjah.
UAE Book Prize:
The Best UAE Book prize of the year shall be announced
and given away during the book fair. Associated
Cultural Activities:
Children's programme: Daily programme in co-ordination
with the Children's Cultural Centres in Sharjah.
General cultural programme : Daily programme in co-ordination
with the Cultural Directorate (Dept of Culture &
Information).
Specialised programme: In accordance with programmes
prepared by the Organizing Committee of the Sharjah
Book Fair.
All these activities are during the evenings only (from
17:00 hrs to 22:00 hrs).
Participation:
· Registration to participate must be made
in writing using the prescribed form along with the
fee before the 1st of August. ( Fee details are given
in the application form). Any other method of application
is unacceptable.
· Only those titles that are published after
the year 2000 and passed by the UAE censorship are
allowed to take part.
· Forged editions are strictly not allowed
and no title should contradict with the doctrine and
the accepted principles of the UAE. Such titles shall
be confiscated and they are non-returnable. Violators
shall also be penalized.
· Participants should send a list of titles
showing the name, author, subject, published year
and price in original currency, to the Organizing
Committee before the 1st of August.
· Participants should submit book-lists and
samples of their titles, for censorship purpose, before
the 1st of August.
· Participants are not allowed to lease or
exchange the allotted space.
· Exhibitors shall be held responsible for
any damage effected to their stands and are liable
to compensate the damage as decided by the Organizers.
· The Organizing Committee may cancel the participation
of any participant at any stage, without giving reasons
and in such cases the participant will be fully responsible
for the consequences and losses.
· Signing the participation form by the person
in-charge of the participant will be considered as
acceptance of all book fair terms and conditions.
Participants are expected to strictly abide by the
terms & conditions.
· Payments are to be made through cheques or
DDs drawn in the name of "The Department of Culture
& Information, Sharjah".
Authorizations:
A publisher can authorize another participant as its
representative at the fair. The prescribed form should
be filled, signed and forwarded by the publisher to
the Organizing Committee to reach before the 1st of
August. Such authorizations shall be valid only for
the current session of the book fair. The authorized
agent can not transfer the authorization to another
agent.
The Organizing Committee may reject any authorizations
without giving reasons.
Representatives:
A direct foreign participant is eligible for two entry
visas for their representatives for the Fair against
a fee of Dhs.130/- per visa. In order to avail this
facility, send us the filled representative form along
with the passport copy and 2 photos before 15th August.
ID cards shall be supplied free-of-charge for the
representatives, in advance. Wearing the ID cards
by the representatives during the fair hours is mandatory.
Hotel bookings:
Participants can make room reservations directly with
the hotel (refer the representative form for the listing).
As the occupancy in Sharjah hotels during December
is usually very high, reservations should be done
well in advance. Some hotels demand credit card details
as guarantee for confirming reservation.
Pricing & Selling
· Prices of the titles sold at the SWBF are
controlled by the Book Fair Organizing Committee.
· A minimum discount of 25% from the published
fair is obligatory.
· Cconversion rates for all major currencies
shall be fixed and circulated by the Organizers.
· All books displayed in the fair should carry
price stickers in UAE Dirhams according to the currency
conversion rates fixed by the Organizers. Price stickers
are supplied by the Organizers free-of-charge. The
price on the cover should tally with the price listed
the book fair catalogue. (In case of contradiction,
the price which is lower shall be applicable.)
· Participants are expected to adhere to the
agency rules of the fair. Selling unauthorized titles
is illegal.
Air-Freight:
· Samples for censorship should be sent during
May-August and should be addressed to the Organizing
Committee.
· Shipments are to be sent preferably to Sharjah
airport. Dubai airport is also acceptable.
· Organizing Committee will clear and transport
the shipments from the airport against a fee of Dhs.150/-
for the first 100 boxes. Dhs.150/- shall be charged
for each additional 50 boxes.
· To facilitate the customs clearance an invoice
and packing list should be enclosed with each shipment.
· A copy of the Air Way Bill and a copy of
the invoice & packing list should be sent to the
Organizing Committee.
The Organizing Committee will not be responsible
for the shipments that:
(a) arrived without notification to the Organizing
committee. (B) arrived in airports other than Sharjah
or Dubai airport.
(c) addressed to a different consignee.(d)- arrived
with wrong / incomplete address.(e)- arrived later
than the prescribed dates.
(f) arrived by land or sea.
The shipper shall be responsible for any damage or
loss occurred during the shipping process. Shipper
should make sure that the material is well packed
and insured.
The Organizing Committee will not be responsible
for storage or return of the books after the fair.
Exhibition area
· Exhibitors will be given 2 days time to organize
their stalls before the inauguration and two days
to remove after the exhibition.
· The Organizer has the right to reallocate
stands that are not yet occupied by 1 PM on the day
before the inauguration date and no reimbursement
of stand rental fees is applicable whatsoever.
· Stands must be occupied by the representatives
30 minutes prior to the scheduled time.
· Exhibitors should not make promotional announcements
or stick bills at their stand or pavilion without
written permission from the Organizers.
· On the final day of the exhibition, exhibitors
are expected to be present at their respective stands
at least till 9:00 PM
.
Rules, violations and
penalties
Participants are expected to be fully understood the
rules and regulations of the book fair. Violations
of any of the rules will invite strict actions from
the Organizing Committee. Following are the steps
of actions to be taken:
(a) A warning notice for first time offence. (b)
Closing of the violator's stand for a day for 2nd
violation. (C) Closing of the violator's stand for
the whole fair, in case of a 3rd violation.
Depending on the seriousness of the violation the
Organizing committee may take further actions such
as debarring the exhibitor from Sharjah World Book
Fair for the next 2 years or for ever and if found
necessary, the matter shall be forwarded to all the
concerned local and international authorities.
